Gas Safety Renewal

How Long Does a Gas Safety Certificate Last? Renewal Deadlines and Early Checks

For London landlords, a gas safety certificate normally follows a 12-month checking cycle; a qualifying early check can preserve the existing annual deadline, but there is no general grace period afterwards. CP12 is the familiar name for the Landlord Gas Safety Record. It records findings at the inspection, rather than assuring safety throughout the following year. Use the established renewal deadline, which can differ from the anniversary of an early inspection.

Have your postcode, the gas appliances you provide and your current certificate's expiry date ready.

The Annual Gas Safety Duty for London Landlords

Regulation 36 of the Gas Safety (Installation and Use) Regulations 1998 requires annual safety checks of landlord-provided gas appliances and flues. London follows England’s rules, with no separate renewal interval. Arrange landlord gas safety checks in London with a Gas Safe registered engineer qualified for the appliances involved.

Maintenance and supplying tenant copies are separate obligations, explained in our landlord gas safety regulations guide.

Tenants are responsible for their own appliances; landlords retain responsibilities for associated installation and pipework. A boiler-only record does not cover other appliances.

Safety first: if you smell gas, leave and call the National Gas Emergency Service on 0800 111 999 from a safe place. For suspected carbon monoxide exposure or a sounding CO alarm, go outside and obtain emergency gas assistance. For suspected symptoms, contact NHS 111, or 999 if serious.

Work Out Your Renewal Deadline: Early, On Time or Overdue

Start with the established deadline, then compare the actual inspection date with the two-month early-check window. Under regulation 36A(1), a qualifying check is treated as completed on the existing deadline for calculating the next annual check.

Keep the Evidence Behind a Preserved Deadline

Your records must support the deadline you carry forward. Retain previous records and show the attending engineer the established deadline. If dates conflict, ask the issuing business to clarify them; do not alter a record or assume the later date applies.

Administrative checklist, not a gas safety record:

  • Previous evidence: record reference and established deadline.
  • Actual inspection: date the check was completed.
  • Next deadline: date supported by the renewal history.
  • Tenant copy: date and method of delivery.

An Earlier Check Can Move the Annual Date Forward

A check completed before the two-month window does not preserve the existing deadline under the early-check rule. In the September example, the next check becomes due in September, even though the previous deadline was December.

You may choose an earlier inspection, but record the resulting deadline accurately. Reserving an appointment does not change the cycle: the completed check matters. Never delay assessment of a safety concern just to preserve an anniversary.

Illustrative existing deadline: 15 December 2026. Qualifying window: 15 October–15 December 2026.

  • Actual check: 20 September 2026. Outside the early window. Next deadline: 20 September 2027. The annual date moves earlier.
  • Actual check: 20 November 2026. Qualifying early check. Next deadline: 15 December 2027. The established anniversary is preserved.
  • Actual check: 15 December 2026. Completed on the deadline. Next deadline: 15 December 2027.
  • Actual check: 20 December 2026. Ordinary late check. Next deadline: 20 December 2027. Completing it does not erase the missed period.

These examples assume an established compliant cycle and no exceptional alignment arrangement. The window uses calendar months, not a fixed number of days.

Regulation 36A(2)–(3) separately permits restricted alignment of appliance or flue deadlines within the same premises, only once per appliance or flue. It is not permission to postpone an ordinary renewal.

Agents tracking several properties should record each deadline and its early-check window separately when arranging portfolio gas safety certificates.

A Missed Deadline Needs Action Now

An ordinary missed annual deadline has no general grace period, and a later check does not erase the gap. Breaches can lead to enforcement or prosecution; the circumstances matter.

Record Access Attempts Without Treating Them as an Extension

Access difficulties do not automatically extend the annual deadline. Explain the check’s purpose, offer workable appointments and document unsuccessful visits. The reasonable-steps approach depends on the circumstances; no fixed number of attempts creates an automatic exemption. Do not force entry.

Keep an access log showing:

  • Date: when contact or a visit was attempted.
  • Contact: the message, appointment options and explanation given.
  • Response: the tenant’s reply or unsuccessful visit outcome.
  • Next action: the further arrangement you will pursue.

First distinguish an overdue inspection from a completed check whose paperwork is missing. Ask the issuing business for a copy if the visit took place.

  1. Establish the dates: confirm the last completed check and applicable deadline.
  2. Arrange the check: seek the earliest available appointment with a suitably qualified Gas Safe registered engineer.
  3. Agree access: confirm arrangements with the tenant so the inspection can proceed.
  4. Keep the evidence: retain the new record and documentation of subsequent action.

Booking alone does not complete the duty, and records must not be backdated.

Plan the Visit Before the Deadline Becomes Urgent

Plan around the early-check window, leaving time to rearrange access before the deadline. If an agent manages the property, agree who handles each step and who confirms completion.

Finish the Renewal With Tenant Copies and Retained Records

Completing the inspection and supplying the record are separate obligations. Track delivery from the actual check date, even when the annual deadline is preserved.

  • Existing tenants: provide a copy within 28 days of the actual check. Keep evidence of delivery.
  • New tenants: provide the current record before they move in. Record when and how it was supplied.
  • Retention: keep the record until two further checks of the appliance or flue. For a removed appliance or flue, retain it for two years from its last check. File follow-up documentation alongside it.

The 28-day delivery period is not extra time to complete the inspection.

A Change of Tenant Does Not Automatically Restart the Clock

A new tenancy does not automatically require another annual check if the existing record remains current and the relevant safety duties are met. However, its date alone cannot establish continuing safety. Damage, changes or suspected tampering require assessment.

Before occupation, review:

  • Date: confirm the current record and next deadline.
  • Appliances: ensure appliances and flues are safe, considering changes since inspection.
  • Tenant copy: supply the current record before the tenant moves in.
  1. Diarise the deadline: verify it against the retained records.
  2. Set your reminder: allow time before the window to organise the appointment.
  3. Agree tenant access: confirm the proposed date and practical arrangements.
  4. Prepare the information: supply the appliance list and previous record.
  5. Confirm completion: obtain the record and enter the supported next deadline.

This reminder schedule is practical planning advice, not a statutory notice period.

Frequently Asked Questions

Do I Need a Gas Safety Certificate Every Year If I Live in My Own Home?

No, an owner-occupier who is not acting as a landlord has no annual landlord-record duty. You should still arrange appropriate servicing and maintenance to keep gas appliances safe. Taking in paying lodgers can bring landlord duties into scope, so living in the property does not by itself settle which responsibilities apply.

Is a Boiler Service the Same as a Gas Safety Certificate?

No: a boiler service and a landlord gas safety check are different jobs. Servicing maintains the boiler; the landlord check assesses the relevant appliances and flues and produces a safety record. If you booked both together, confirm both were completed. A service date alone does not show that every landlord-provided appliance received its required check.

Can I Get the CP12 and Boiler Service Done in One Visit?

Yes, we offer a combined CP12 and boiler service visit, allowing one access arrangement for both tasks. Ask for both when booking and identify all landlord-provided gas appliances. The landlord safety check still needs to cover every relevant appliance and flue, even when the boiler is the only appliance being serviced.

What Does an Unsafe Appliance Finding Mean for My Certificate?

The record documents findings and does not authorise use of an unsafe appliance. It is still issued. Immediately Dangerous and At Risk findings require warning documentation and appropriate action; the engineer seeks permission for making-safe measures. The landlord must arrange remedial work with a Gas Safe registered engineer.

Safety: smell gas: leave and call 0800 111 999. Suspected CO exposure or alarm: get outside and seek emergency gas assistance; symptoms require NHS 111, or 999 if serious.

How Much Does a Gas Safety Certificate Cost in the UK?

The price depends on the property and scope of the check, so ask for a price for your London property. Tell us the number and types of gas appliances, the property type, your preferred timing and whether you also need a boiler service. These details help establish the work required.
