Agent and Portfolio Checks

Gas Safety Certificates for Letting Agents and Portfolio Landlords in London

We provide landlord gas safety checks for letting agents and portfolio landlords across London. Our Gas Safe registered engineers check landlord-provided gas appliances and flues, recording the findings in a Landlord Gas Safety Record, commonly called a CP12. Prepare each property’s renewal deadline, tenant access arrangements and record recipient when enquiring.

Our phone line is open 24 hours a day, 7 days a week. Same-day gas safety check appointments are available, subject to availability.

For Letting Agents and Landlords Managing Several Properties

For a managed portfolio, identify who arranges each check, confirms access and sends the record to the tenant. Make these responsibilities explicit in the management agreement. Appointing an agent does not automatically remove the landlord’s obligations under regulation 36 of the Gas Safety (Installation and Use) Regulations 1998.

Every Landlord Gas Appliance and Flue Must Be Accounted For

The landlord’s annual check covers every gas appliance and flue they provide, including appliances beyond the boiler. Identify tenant-owned appliances separately because responsibility differs. Tightness testing is undertaken where required.

01

Boiler or Gas Water Heater

Declare the appliance type and location. Checks include safe operation, safety devices and operating pressure or heat input as appropriate. Confirm what equipment is actually present in heat-network flats.

02

Cooker, Hob or Range Cooker

List each landlord-provided cooking appliance. Tell us its location and any access restrictions so the inspection scope includes its operation and safety controls.

03

Gas Fire

Include every landlord-provided gas fire, even if rarely used. Identify its room and any known restrictions affecting access to the appliance or flue.

04

Associated Flues and Ventilation

Declare known flue routes and access limitations. The engineer checks relevant flue performance and ventilation alongside the appliances they serve.

The Record to File Against Each Property

File the Landlord Gas Safety Record against the inspected property and check that its details match the visit.

  • Property address and landlord or agent details.
  • Actual inspection date.
  • Appliance and flue descriptions and locations.
  • Engineer identification, registration details and signature.
  • Confirmation of required checks.
  • Safety defects identified and action taken.

The record documents findings, including defects; it does not establish that every appliance is safe. Keep warning notices and follow-up evidence alongside it.

If you smell gas, leave and call the National Gas Emergency Service on 0800 111 999 from a safe place. For suspected carbon monoxide symptoms, get fresh air and contact NHS 111, or 999 if serious.

A Property-by-Property Checklist for Renewals, Access and Records

Track each property from its existing deadline through access, inspection and delivery of the record. This is suggested management practice, not a statutory form or a company account system.

Keep fields for property reference, current deadline, actual check date, access status, record received and tenant-copy date.

  1. Establish the deadline: the landlord or nominated agent checks previous records, saves the supporting evidence and identifies the next due date.
  2. Plan the renewal: the booking contact records the eligible window, keeps the date calculation with earlier records and requests an appointment.
  3. Confirm access: the access contact checks the appliance list, logs tenant agreement and resolves known restrictions before attendance.
  4. Record completion: the nominated reviewer enters the actual check date, files the record and assigns any outstanding action to a responsible person.
  5. Record tenant delivery: the agreed sender logs the recipient, date and method, retains delivery evidence and updates the next renewal task.

A planned visit, completed check, received record and delivered tenant copy are separate stages. Track each one.

1

Keep the Existing Deadline Visible When Booking Early

A qualifying check in the two months ending with the existing deadline can preserve that deadline under regulation 36A. Keep earlier records supporting the deadline and enter the actual inspection date separately.

Check dates property by property. Grouping appointments does not create a shared portfolio deadline, and the early-check window is not a grace period after expiry.

2

Agree Tenant Access and Keep a Record of Attempts

Agree access with the tenant and keep dated records of requests, replies and unsuccessful visits.

  • Identify the authorised contact and agreed access arrangements.
  • Confirm appliance locations and inspection-access restrictions.
  • Explain the safety check’s purpose in writing if access is refused, and invite a suitable appointment.
  • Assign follow-up responsibility and preserve correspondence.

Do not force entry. There is no automatic exemption after a set number of attempts; reasonable steps depend on the circumstances.

3

Record Tenant Delivery and Prepare for the Next Tenancy

Give existing tenants their copy within 28 days of the check and new tenants their copy before they move in.

  • Log the recipient, delivery date and method.
  • Retain records until two further checks of the relevant appliance or flue; for removed equipment, retain them for two years from its last check.
  • Name the person handling delivery at tenancy changeover.

Receiving the record does not complete the tenant-copy task.

What to Have Ready When Arranging Portfolio Checks

Have property addresses, existing records, appliance lists and access contacts ready when you call.

1

Identify properties

provide addresses, postcodes and individual deadlines, flagging overdue or incomplete checks.

2

Describe appliances

list every landlord-provided gas appliance and any known unsafe finding.

3

Explain access

outline agreed arrangements, the authorised contact and known restrictions.

4

Identify recipients

confirm who should receive each record and who will send the tenant’s copy.

Discuss these details when enquiring so the requested work and responsibilities are clear.

What affects the price

What Affects a Portfolio Gas Safety Quote

A portfolio gas safety quote depends on the properties, appliances and work requested. Have these details ready:

  • Number of properties and their locations.
  • Number and type of landlord-provided gas appliances at each address.
  • Property type, including HMO or shared-appliance arrangements.
  • Whether a separate boiler service is requested alongside the safety check.

Tell us your required timing when discussing the scope and price.

Typical London prices

  • Per property: boiler only: £65-£85 + VAT
  • Per property: three or more gas appliances: £90-£135 + VAT

Typical London price range, plus VAT at 20%. Your price depends on the number of gas appliances, the property and when the check is done; ask on the call.

Planning Checks Across London’s Boroughs

For portfolios across London’s 32 boroughs and the City of London, keep each property’s authority and licensing information with its records.

Our service covers domestic rented properties across London. Check licensing requirements for each address: Housing Act 2004 Schedule 4 includes a gas safety certificate licence condition where applicable. A licensing exemption does not remove applicable annual gas safety duties.

Check the Business and the Attending Engineer

Verify the gas business and check that the attending engineer’s current Gas Safe ID covers the appliances involved.

  • Check the business registration.
  • Match the engineer to their ID card and check its validity.
  • Check the relevant appliance categories on the card.

All Service 4 U is the trading name of All Service 4 U Limited, Gas Safe business registration 648977. Our registered office is North London Business Park, London N11 1GN.

Frequently Asked Questions

Is a Boiler Service the Same as a Gas Safety Certificate (CP12)?

No, a boiler service and a landlord gas safety check are different activities. The check records safety findings for landlord-provided gas appliances and flues. A boiler service follows the manufacturer’s maintenance instructions. A service receipt does not replace the required Landlord Gas Safety Record.

Can I Get the Landlord CP12 and the Boiler Service Done in One Visit?

Yes, a landlord gas safety check and a boiler service can be booked together. They remain separate activities, so request the service when enquiring. Include every landlord-provided gas appliance in the safety-check scope, even when the boiler is the only appliance being serviced.

What Happens if a Landlord Lets the Gas Safety Certificate Lapse?

There is no general grace period after the annual gas safety deadline. Arrange the overdue check promptly and retain correspondence, access evidence and the actual completion date. Booking an appointment does not complete the check or erase the missed deadline. Keep any outstanding access arrangements under review until the check takes place.

My Boiler Has Been Condemned or Labelled Unsafe: What Does That Mean?

An unsafe finding means you must follow the engineer’s safety instructions; the record still documents the findings. Immediately Dangerous means an immediate danger; At Risk means recognised faults could create danger. Under the Gas Industry Unsafe Situations Procedure, the engineer seeks the responsible person’s permission for disconnection or turning off, as appropriate, and provides a warning notice. The landlord must arrange necessary remedial work with a Gas Safe registered engineer and retain follow-up evidence.
